We're pleased to announce that Ruleguard version 4.110.0 is now live!
This update contains the following changes:
Archiving Processes, Risks and Controls
- Archive and unarchive a Process, Risk or Control from the card's context menu.
- Archiving uses your existing permissions. Archiving and unarchiving a Process, Risk or Control requires View & Edit Permission on that entity.
- Archived items carry an Archived pill and are hidden from the grid by default, with a control to reveal them. The pill also shows on linked items in your inbox and on attestation screens.
- Archive in bulk from the grid: select the items you want, review the named list in the confirmation, and archive them in one action.
- NB: Items shared with you by a master account cannot be archived or unarchived on your side.
Compliance Monitoring
- For those capturing Compliance Area as Data Library records;
- It is now possible for child items to be restricted to the items chosen on their parent (e.g. where a plan has five of twenty compliance areas selected, an activity created beneath it offers only those five).
- Similarly, a Data Library field can also be filtered by another field on the same item through a relationship between the two libraries, so choosing a theme narrows the sub-themes available (created a 'tiered' selection process where the first choice narrows the available selections in the later choices).
Improvements
- Process, Risk and Control Matrices have seen a significant refactor to improve performance and stability.
- Functionality remains the same - although some wording is clearer e.g. 'gaps' vs. 'is empty' for filters on related items.
- Scheduled stage workflows are now created automatically on auto-progress - instead of requiring someone to pass through the action page.
- The condition is relabeled 'Hide user view of transition logic (Auto-perform actions, if any)' and the stage workflow type name is now shown when transitioning from the card.
- No more duplicate scheduled automations. Taking the same transition again where an automation already exists for that firm, stage workflow type and frequency no longer creates a second one, and the action page is skipped.
- A matching automation that had been disabled is re-enabled rather than duplicated.
- Where a mandatory start date is not available from configuration or the configured field, the action page is still shown so you can supply it.
- Finalised Statements of Responsibilities no longer depend on the Person record. An SoR that has been finalised remains reviewable after the Person it describes has been deleted. Previously, this was not possible. This supports retention policies that remove personal data on one clock and retain Statements of Responsibilities on a longer one.
Fixes
- Removing a mapping between a Risk and a Process or Control now generates third-party sharing updates only for the Topics and recipients genuinely affected by that change. Recipients whose shared Topics do not include the mapping no longer see an approval prompt, and history shows a consistent chain of mapping and unmapping events. There is also a prompt when influencing a mapping relationship in one Topic that will affect other Topics to make it clearer where relationships will prompt for a reshare.
- Overdue summary reminder emails now describe the correct reason you are receiving them, i.e. an overdue attestation where you are the approver is now correctly labelled as such rather than as a backup, and the link in the email opens the relevant overdue events instead of an empty grid.
- User groups can be selected in MI filters again. Typing into a Maps > Owners (User Group) filter no longer returns no results and throws an error.
